About the Role

Our company is looking for a workspace executive at our office inside our workspaces in multiple locations ( Chennai, Patna, Shillong, and Bangalore) to be responsible for handling general operations and other administrative tasks in our workspace.

In order for you to be selected as a candidate, you will need the ability to write and speak clearly in the English language and be proficient with word processing applications. A calm, pleasing and kind personality with strong communication skills( both speaking and writing) is also highly valued. Please note that in our effort of creating a sustainable workspace; tasks, physical in nature might also have to be undertaken in the capacity of the executive.

Overview of the Functions of the Post:


The role of the Workspace executive is to help in the organization and running of the daily administrative operations of the company.


Who we are looking at?

  • Calm, kind and pleasant personality is a must for the job- role.

  • Preferred age: 18-25 years.

  • Someone with the ability to work swiftly in online, offline and hybrid environments.


Detailed Requirements:-

  1. High school / Bachelor's degree/ Diploma in business administration or similar field.

  2. Previous Work Experience as an admin staff/ executive.

  3. Warm personality and excellent organisational skills.

  4. Ability to write clearly and help with digital word processing when necessary.

  5. Knowledge and familiarity with digital ecosystems including, computer and mobile systems.

  6. Working knowledge of Google Workspace and other cloud platforms.

  7. Ability to work well in a team environment or under limited supervision.

  8. Committed to working for and with marginalised youth.


Detailed Responsibilities-


- To handle all communication received at the front desk, including incoming calls, letters, goods invoice copies, and other mandatory receivables at the workspace premises.

- To manage and keep secure the filing system at the workspace premises during all times.

- To greet clients and visitors as needed at the workspace.

- To coordinate( schedule, organise and followup) meetings, small scale workspace events and other experiential activities by reserving meeting rooms and managing refreshments.

- To organize travel by booking accommodation and reservation needs as required.

- To help organize and maintain office common areas.

- To support the maintenance and the housekeeping staff, if needed.

- To maintain in pristine condition, any official document, letter. However, the correspondence permitted is only in the capacity of “Workspace Executive/ Assistant’’

- To not divulge confidential information with any third party/ group/ individual without prior info./ approvals.

- To record information/ notetaking ( as deemed necessary) during private/ public meetings and conferences. The information in the form of text, audio, video is accepted.

- To update paperwork, maintain documents, and other online storage systems.

- To create, maintain, and enter information into databases- Contact mapping and sharing.

- To create and operationalise employee schedules.

- To maintain supply inventory including office stationery, tea & coffee, sanitary, and horticulture items, at all times.

- To maintain office equipment(s) as needed.

- To aid with client reception and guided tours as needed.

- To set up or support back workspace/ virtual workspace tasks, as the need arises.

- To assist and support other employees and management.

- To process company receipts, invoices and bills ( Receivables and Outgoing )

- To maintain good relations with clients, visitors, and vendors

- To send daily updates ( by EOD )  to office supervisor through electronic mail.

- To conduct basic desk research and compiling for general office purpose.

- To engage in educational and other training opportunities within in the organisation.



Professional Fee and Payment Schedule:


Upon submission and approval by the concerned authority, Indian Youth Cafe shall make the following payments to the person for the services to be provided under the terms of this contract:


Payment No 1: ( Post 45 days of joining )

Upon submission ( including all desired initial deliverables / updates/ daily status updates ) and approval by Indian Youth Cafe of the following work –

Amount/ Currency - INR 15085.00 + Taxes as applicable


Payment No 2: ( Post 90 days of joining )

Upon submission and approval by Indian Youth Cafe of the following work –

Desired deliverables / project managaement updates/ daily status updates  of the specific approved project.

Amount/ Currency - INR 15085.00 + Taxes as applicable


Payment No 3: ( Post 150 days of joining )

Upon submission and approval by Indian Youth Cafe of the following work –

Desired deliverables / project managaement updates/ daily status updates  of the specific approved project.

Amount/ Currency - INR 30005.00 + Taxes as applicable


Payment No 4: ( Post  successful completion )

Upon submission and approval by Indian Youth Cafe of the following work –

Desired deliverables / project managaement updates/ daily status updates  of the specific approved project.

Amount/ Currency - INR 37500.00 + Taxes as applicable


Currency/ Total Payable Amount - INR 97, 675.00 + Taxes as applicable



* A clearance/ completion certificate for job will be alloted after due clearances only.
